Modifying Delivered Quick and Extended Searches

Each community includes a set of predefined quick and extended searches for all of the AssetWise object types. These searches are read-only and stored in the community's database. For example, the name in the database for the delivered quick search for documents is CORE-QS-DOCUMENTS, and the name of the extended search for documents is CORE-ES-DOCUMENTS.

If you try to modify one of these searches, the system preserves the original search and saves the modified search under a new name (for example, USER-QS-DOCUMENTS or USER-ES-DOCUMENTS) depending on which search type was modified. That way, the original searches can always be updated when the database is updated without overwriting your changes.

You may experience the following issues if you modify one of the standard extended searches:

  • Duplicate search names displaying in the Manage > Extended Search folder - If you modify one of the delivered extended searches (for example, the extended search for documents) and do not change the search name, you will see duplicate documents in the Extended Search folder. One that points to CORE-ES-DOCUMENTS and one that points to USER-ES-DOCUMENTS.
  • The same quick search is linked to one or more extended searches - Each extended search is linked to its corresponding quick search via the Extension of Quick Search control on the extended search form. If you modify one of the standard extended searches (e.g. CORE-ES-DOCUMENTS) and do not change the search name, both extended searches (CORE-ES-DOCUMENTS and USER-ES-DOCUMENTS) will be linked to the same quick search (CORE-QS-DOCUMENTS). This creates an issue when using extended searches in ALIM Web. For example, the extended search displayed when clicking the More Options button is determined by which extended search the currently active quick search is linked to. If a quick search is linked to more than one extended search, the first available extended search will be displayed.
CAUTION: It is recommended that this condition be avoided to prevent confusion for the end user. AssetWise does not force a one-to-one relationship so that the system administrator has the flexibility to define a one-to-many relationship and subsequently control which extended search is displayed for a particular group of users based on AssetWise permissions or AssetWise scopes. This approach keeps the number of quick searches required to a minimum while providing the flexibility to present different extended searches to a particular set of AssetWise users.
